In Dynamics 365, checking a user’s access to a specific record used to mean jumping through multiple menus — often navigating to the Power Platform Admin Center or Advanced Settings.
But did you know you can now check a user’s access directly from the record itself? This is a huge time-saver for admins and functional consultants working on troubleshooting security and permissions.
Recently, while working in my HR Employee Portal app, I came across a resolved case where I wanted to verify access rights for a specific user. Instead of switching contexts, I used the built-in Check Access feature — right inside the record form.
Step-by-Step Guide: How to Check Access from a Record
1. Open the record
Navigate to the record for which you want to check access. In my example, I opened a resolved case in the Cases table.

2. Open the More Commands Menu
Click on the ellipsis (⋯) in the command bar at the top of the record form.
From the dropdown menu, select Check Access.

3. Review User Access Details
A dialog will appear where you can select a user and instantly see their access level for the record.You’ll see:
Overall Access (Read, Write, Append, etc.)
The security roles that grant this access
Whether the access is directly assigned or inherited from a team
The business unit of each role

In my case, I could confirm the user had full permissions (Read, Write, Create, Delete, Append, Append To, Assign, Share) through their System Administrator and System Customizer roles.

Saves Time: No need to leave the record or navigate to Advanced Settings.
Improves Troubleshooting: Quickly confirm if a user’s lack of functionality is due to missing permissions.
Better Collaboration: Share screenshots with your team to explain access issues clearly
