Chatbot created in MS Copilot Studio published in Teams is not getting refreshed with new publishes

Hi,

We created a chatbot using MS Copilot studio and published to teams. It requires admin approval for the first time of publish which was done. All the subsequent publishes of the same bot is not triggering any approval requests, but at the same time new version is not getting reflected in Teams. When I try to compare the bot version in MS Copilot studio and Teams, Teams is always showing the first published version under its  version not the latest published one from MS Copilot Studio. What could be the reason?

It sounds like you’re encountering a frustrating issue with updating your Copilot Studio chatbot in Microsoft Teams. Here are some steps and considerations that might help resolve the problem:

    Updating the Bot Version

    1. Sometimes, Teams might be showing a cached version of the app. Try clearing the Teams cache:

      • Close Microsoft Teams.

      • Navigate to %appdata%\Microsoft\Teams on your computer.

      • Delete all files and folders in this directory.

      • Restart Teams and try updating the bot again.

    2. Ensure that the bot has the necessary permissions to update. Sometimes, permission issues can prevent updates from being applied correctly.

    3. Go back to Copilot Studio and re-publish the bot. Ensure that the version number is correctly incremented and that all changes are saved before publishing.

    4. If your organization requires admin approval for app updates, make sure the new version has been approved by an admin in the Teams admin center. Refer to Connect and configure a copilot for Microsoft Teams - Microsoft Copilot Studio | Microsoft Learn

Currently, there isn’t a built-in feature in Microsoft Teams to force users to update to the latest version of a bot automatically. However, you can encourage users to update by:

    1. Send out a notification or email to users informing them of the new version and the steps to update.

    2. As an admin, you can manage app updates and ensure that users are prompted to update. This can be done by:

      • Navigating to the Teams admin center.

      • Going to Teams apps > Manage apps.

      • Finding your bot and ensuring the latest version is available and approved.

    3. Encourage users to uninstall and reinstall the bot to ensure they get the latest version. This can be communicated through a message or a guide.

If these steps don’t resolve the issue, it might be worth reaching out to Microsoft Support for further assistance, as there could be a bug or a specific issue with your setup, Teams - Copilot studio unable to Edit Bot (powerplatform.com).”
