Can we reduce monthly PowerApps costs by merging Apps?

Hi there Experts,

Our organization have four apps in PowerApps:

  1. App1 (5 users)
  2. App2 (5 users)
  3. App3 (5 users)
  4. App4 (5 users)

All of these apps currently use Dataverse as a data source and are charged under the Pay-as-you-go model. I also use Power Automate Premium actions since we're using Dataverse.

My questions are:

  1. Can you explain how Microsoft calculates the charges?
  2. Some users are shared across multiple apps. If I merge App1 with App2, and also merge App3 with App4, will our monthly costs go down?

    You are being charged per user, so even if you try to merge them into one, they will still charge you the same amount.

    Merging only works if the five users in each application are the same people. If they are 25 people, then merging can't save anything

    This is a tricky thing to answer.
     
    If your licenses were all per app (and I am only talking the App side), and you merged apps, then yes, because you have let apps, which require less licenses.
     
    That being said, I have to state my normal message, you really need to speak with your Microsoft Rep to give you specifics because things can change and anything we tell you should be considered wrong, as it will not be "evidence" to back up if we do tell you wrong and you have a massive bill, to get them to not charge you etc.
     
    Please call them.
