Copilot Agents suddenly unable to reference knowledge stored in Sharepoint

Posting here in case anyone has noticed a similar issue or might know of a solution. I set up a few agents in Copilot Studio last week with references to knowledge stored in Sharepoint sites. The agents were shared with a few users, all of which have visitor access to the site where the knowledge is stored. I have a test user with the same permissions. There are no issues accessing the site, folder, and reading the documents as the users.

Everything was working just fine until Friday afternoon. Users could ask the agents questions in Teams, Copilot and it would serve up the relevant content from the SP knowledge base. When testing in Copilot Studio, same thing. All working perfectly.

All of a sudden on Friday afternoon, the agents could no longer find relevant content in the Sharepoint site. Started to see the agent return messages like "I apologize, but I couldn't find specific Mac setup instructions in our knowledge base." and then go to a fallback response. I would see the same in Copilot studio when testing. I can see it searching for relevant content, but no matches.

If I upload the knowledge directly into the Agent (not from Sharepoint), it works just fine.

I see no connection warnings, credential issues, and nothing has changed in our tenant settings since we deployed the agents and saw success last week. I've removed and re-added the SP knowledge multiple times. Created new agents from scratch and all have the same issue. If I add a Confluence knowledge source, it works without issue. This is specific to Sharepoint knowledge.

Is anyone else experiencing this issue all of a sudden? Any suggestions on what I can check next?

    Hello ,
Possible Cause: The SharePoint search index may be outdated, or a backend service update could have affected Copilot Studio's ability to retrieve SharePoint content.

    Quick Checks:

    • Review Microsoft 365 Service Health for SharePoint or Microsoft Search advisories since Friday
    • Ensure the knowledge source index in Copilot Studio displays "Ready" and not "Indexing" or "Error"
    • Verify Copilot/PVA permissions and consent in Azure AD Enterprise Apps
    • Check the Unified Audit Log for any policy or permission changes made on Friday afternoon
    • Request a site-level search re-crawl from SharePoint Admin Center

    Isolation Tests:

    • Create a new SharePoint site with a test document and add it as knowledge to see if the issue is site-specific or tenant-wide
    • Use Owner-level SharePoint permissions instead of Visitor
    • Try using a direct document library URL instead of the site URL

    Workarounds:

    • Use OneDrive for Business as the knowledge source, since it has a different retrieval path

You can try the option suggested by @Nivedipa-MSFT

Assume there is no chnages done to the agent if yes then i strongly recomment to, I would recommend raising a ticket with Microsoft.

    Hi There,

I can confirm, I exactly have the same issue.

    Everything was working last week.
    # Topics -> accessing via Create generative answers Knowledge (Excel file)
    # Topics -> accessing via Create generative answers Knowledge (SharePoint Online)

    Both are not working anymore!
Spent hours to find the reason. Lost time!
Now I found this conversation, thank you for posting!

It would be good to have a website for developers to check if there is on ongoing issue!
    Otherwise, we waste time.

I checked on: Microsoft service health status  .. the message there is "operational"

I assume you have a developer tenant or an M365 tenant available in your organisation. I would also recommend raising a support case with Microsoft for further assistance

    Hello,

I can confirm I am also having similar issues to this. I've built a knowledge base agent and as of this morning it's not pulling in any information. This was working just fine last Friday, April 10th.
    • The knowledge itself has not changed.
    • The way we upload that knowledge has not changed.
    • No settings have been changed on the back end.
    • Using generative orchestration.

    Thank you.

    Quick Checks:

    • Review Microsoft 365 Service Health for SharePoint or Microsoft Search advisories since Friday
      • I don't see any issues here
    • Ensure the knowledge source index in Copilot Studio displays "Ready" and not "Indexing" or "Error"
      • Validated
    • Verify Copilot/PVA permissions and consent in Azure AD Enterprise Apps
      • We don't have a Copilot or Powerapps for Virtual Agents Enterprise app
    • Check the Unified Audit Log for any policy or permission changes made on Friday afternoon
      • Don't see anything related here
    • Request a site-level search re-crawl from SharePoint Admin Center
      • Have tried this

    Isolation Tests:

    • Create a new SharePoint site with a test document and add it as knowledge to see if the issue is site-specific or tenant-wide
      • Validated. Same issue with new site and correct permissions to view content in site.
    • Use Owner-level SharePoint permissions instead of Visitor
      • I am owner of the site. I have also tried with users who are visitors
    • Try using a direct document library URL instead of the site URL
      • Does not fix issue

    Workarounds:

    • Use OneDrive for Business as the knowledge source, since it has a different retrieval path
      • This is a good temporary workaround for the time being. OneDrive content does not share this same issue as SharePoint knowledge.

It appears that others are reporting similar issues starting on 4/10/26 as well. Maybe there is an unreported issue. I have since opened a case with MS as I think this is an issue impacting more than just me.

Hi - I have exactly the same issue and notice it in the last two days. The Bots was working fine before that. I have simplified the knowledge file - even tried a word file with just one paragraph - NOTHING will load.

A result - users get the following response - I don’t have information on that in the approved knowledge I can use.
