Limitations with Project Accelerator in Custom Dataverse Environment

In 2024, we initiated a centralized PPM (Project Portfolio Management) approach to manage our internal projects using Microsoft-native solutions, without additional investment.

 

Initially, we evaluated Project Online but decided against it due to its upcoming deprecation and limited long-term viability. We then adopted the Microsoft Project Accelerator, which aligned well with our requirements. Our pilot was successful, and we began scaling it across multiple projects globally.

 

However, over the past 6–12 months, we have encountered several limitations impacting user experience and adoption. Some key challenges include:

  • No notifications when tasks are assigned

  • No reminders for task due dates

  • Limited functionality for tasks created within plans generated via Project Accelerator

  • Missing basic features expected in standard task management tools

Upon raising support requests, we were informed that these limitations are primarily due to the setup—specifically, hosting in a custom (non-default) Project/Dataverse environment, even though the deployment followed Microsoft-recommended guidance.

These gaps significantly impact usability and create a suboptimal user experience compared to standard Microsoft offerings.

We are seeking guidance on the following:

 

  1. Is there a way to enable full Planner/Project functionality (notifications, reminders, etc.) in a custom Dataverse environment?

  2. Can existing plans/projects from Project Accelerator be migrated to the new Planner (native) environment? If yes, what would be the recommended approach?

  3. Are there alternative Microsoft-native solutions or architectures better suited for managing multiple global projects with full functionality?

  4.  
 

We would greatly appreciate insights, recommended approaches, or best practices from the community.

    Q1: Full functionality in a custom environment?

    Yes, this limitation is largely being addressed. Microsoft has added support for Planner premium plans in non-default environments, allowing plans to appear in the new Planner experience. Verify your tenant has this feature enabled and test notifications/reminders, as some capabilities may still require Power Automate for reliability.

     

    Q2: Should we migrate to native Planner?

    Probably not yet. If your current Accelerator plans already surface in Planner and meet your requirements, a migration introduces risk and effort with limited immediate benefit.

     

    Q3: Better long-term architecture?

    You're already aligned with Microsoft's direction. Keep premium plans in Planner, use the Planner Power App only for gaps, and use Power BI for portfolio reporting. Focus on validating remaining notification and cross-environment requirements before making any major changes.

     

    Recommendation:

    Stay on the current approach, confirm non-default environment support is active in your tenant, test Planner notifications/reminders, and only consider migration if there is a clear business benefit.

    The missing notifications, reminders, and task-management features are largely limitations of the Project Accelerator architecture rather than configuration issues.
     
    While Power Automate can fill some gaps, there is currently no supported method to fully enable all native Planner capabilities within a custom Project
     
    Accelerator environment.
     
    For long-term sustainability, user adoption, and feature completeness, consider transitioning future projects to Microsoft Planner Premium (formerly Project for
     
    the web) and use Power BI for portfolio-level reporting. Existing Project Accelerator projects can be migrated, but the process typically requires a custom
     
    migration approach using Dataverse and Power Automate rather than a Microsoft-provided migration tool.

    As in response you mentioned that Microsoft has added support for Planner premium plans in non-default environments, allowing plans to appear in the new Planner experience.  Can you please share any support documentation available from Microsoft for same? 

    This will help me navigate discussion with appropriate team accordingly.
