Copilot Agent is not reading all the records from the Dataverse table.

Hi Team,
 
I am facing an issue where I have loaded around 13000 records in dataverse table and I am using that table as a knowledge source to my copilot agent.
When I ask summary questions it is not able to give me correct results and looks like it is only reading partial records and shows the output.
What is the solution for this issue? is this limitation of the dataverse table or its a limitation of copilot? 
Can anyone please help me on this?

    had a similar issue and then tried the GPT 5 Model and the answers were way better

    Is it really a copilot issue or dataverse limitations?

    I’m not an expert, but I do remember there’s a limit on how much content Copilot can read in one go — roughly 1.5 million characters or worlds not sure exacly, which is about 300 pages. If your scenario needs to process more than that, you’d have to move to AI Foundation or another AI Pro–level service that supports large-volume summarisation, but those come with extra cost because they’re billed per capacity or per volume processed.

    If the data is very large or complex, it will unfortunately hit those limits.
    Another thing to keep in mind is that Copilot relies on Dataverse Search, and that also has its own cap — usually around 1,000–1,500 records per query.

    So in short: big datasets will run into these boundaries unless you scale up to the higher-tier AI services.

    Thank you for your prompt response on this. I am having only 15k to 20k records in my dataverse table and I am asking my copilot agent to pull the distinct or summarize records.
    but it is retrieving only few records from the table. So, is there any other solution instead choosing for higher-tier AI services? any configuration or anything that can retrieve the correct set of the data?

    You could try creating a custom prompt. You can set it up from the Tools menu, and in the settings you can increase how many records it will scan. Just keep in mind the limit is still 1,000 records — it will look across all your records, but it will only use the closest 1,000 results for processing.



    I think the better way is to use a Flow Action instead of a knowledge source.

    If you call a Flow to pull the data from Dataverse first, you can then ask questions against the full dataset. When you rely on a knowledge source, Copilot only looks at the indexed items, and there’s a token limit — it normally indexes up to around 1,000 records, so anything above that won’t be processed accurately.

    With a Flow Action you’ll get the correct results every time, even with large tables.

    Go to tools 


    Then new and select prompts 


    When you create one 



     
    Click in Details on the name that will open dialog window 

    Head to 3 dots and select Settings
