Hi All,

Our company is considering using Microsoft Power Apps to build a Knowledge Database for all employees. I have a few questions regarding this:

  1. Where are the uploaded files stored? I read that data is saved in Dataverse. Are the files stored in Dataverse and are there some extra cost or is Dataverse included in the Power Apps License? How can I imagine uploading Data and saving data if I build a Power App. I ask because I want to estimate the potential costs if I upload a large volume of data. I've also read that some data is stored in SharePoint and Excel—is that correct? It’s important for me to understand where the data is stored and what costs might arise.

  2. Is it possible to differentiate which user can see what? I would like to categorize some user groups so e.g. a new employee in marketing can only see general documents and then some marketing specific documents - is that possible within one app?

  3. How easy is it to add data after the Knowledge Database is complete? Can I add new content directly (even if the app is done), or would I need to create a new page / app each time?

  4. Can I implement Power Apps into our company website or share specific parts of it to external customers?

  5. How much tech knowledge is needed to create a knowledge base? Is it easy to understand how to create filter options, links to other pages and so on? I want to understand if I could do it by myself (no programming knowledge) or if I need someone to program the features.
    How long does it approximately take to create a knowledge base for 100 employees including videos, documents and so on to have a well structured and easy to use knowledge base.

    here is best practice/system landscape:
     
    Use SharePoint for file storage and Dataverse for structured data.
    Leverage Dataverse security roles or SharePoint folder permissions.
    Use Power Pages for public-facing content.
    Start with Power Apps templates and low-code configurations.
