Automatic E-Mail send with the previous received Data

Hey together,
 
I am currently building an KI Agent in Copilot Studio which drafts all e-mails and it to by mail to the contacts. 
 
In example:
 
Please create an sea freight request from Hamburg to Shanghai with xy volume + Target of USD. 
 
He writes the e-mail based on an word as the kowledge and has to send it directly per mail to the suppliers.
 
At this moment, he do not use the word template and insert it correctly into the mail.
 
Do you have an idea which solution could help?
