Best Approach to Split and Link Large Documents for Microsoft Copilot

I have large documents (20+ pages) that I want to optimize for Microsoft Copilot usage.

What is the best approach to split a single document into multiple smaller documents (e.g., 4 sections) while maintaining a parent-child relationship between them?

Additionally, how can this be implemented using SharePoint, Dynamics 365, or Power Automate so that Copilot can effectively retrieve and ground responses across these related documents?

    Optimizing Large Documents for Microsoft Copilot:

    1. Split by Topic:

    • Break your document into logical sections, not just by page count (e.g., Overview, Technical Requirements, Implementation, Compliance).
    • Create a parent index document (1–2 pages) summarizing the content with hyperlinks to each child section.
    • Add a header in each child: e.g., “Section 2 of 4 for Project Alpha. Related: Overview, Implementation, Compliance.”

    2. SharePoint Setup:

    • Store all related documents in one library with consistent naming: Project Alpha - [Section Topic].docx.
    • Use metadata or links to maintain the parent-child relationship so Copilot can retrieve context across all sections.
    • Microsoft guidance: Optimize SharePoint content for Copilot

    3. Dynamics 365 & Power Automate

    • In Dynamics 365, attach child documents to the main record using related entities or document locations.
    • Use Power Automate to automate document splitting, update metadata, and maintain links between parent and child documents.
