Hello community,

I’m working with a Canvas App in Power Apps that uses a large SharePoint list. The app’s Data row limit is currently set to 2000, and I would like to know:

Is it possible to increase this limit beyond 2000?
  • If yes, where can this setting be configured in Power Apps?
  • If it’s not possible, could you please share best practices for filtering large SharePoint lists in Canvas Apps (delegation, indexed columns, recommended patterns, etc.)?

    No — you can’t increase the 2000 limit beyond that in Canvas Apps. It by design 
        •    The setting is in File → Settings → General → Data row limit, but 2000 is the maximum allowed.
        •    This limit only applies to non-delegable queries (that’s the key point).
    Best practices for large SharePoint lists:
        •    Use delegable functions (like Filter, Sort, LookUp) so Power Apps queries SharePoint directly instead of pulling limited data.
        •    Ensure columns used in filters are indexed in SharePoint

    By way of a bit of explanation, I do not believe Microsoft have any plans to increase this (it has been the same since the start of Power Apps just under 10 years ago) as performance and integrity of data needs to be guaranteed, especially on mobile devices. The limit defines the amount of data able to be reliably processed "locally" on the device such as non-delegable queries and other things you might do with Collections.
     
    If you use Delegable queries, they are processed by the data source server and the requested data comes back (so the device does very little work). I have a number of blogs on Delegation - the first two may be worth reading for you. You will notice in the second one, you can do "big collections" - they work, but performance takes progressively bigger hits the larger they get, both in record and field numbers (up to 4,000 is generally acceptable).
