Adding New Assigned Table to Security Role

One of our User keeps getting the "You don't have permission to view this data" Error in our internal Power Apps, even though we've gave them the necessary roles to access the app. After some checking, we found out that the table they can't open has a lookup Table, which was not on the security role's assigned table list.

The thing is, we don't know how to add a new table for the security role since the app is a legacy app, and we weren't the ones developing it from scratch. Guides on the internet keeps saying to use the Custom Entities tab, but we can't find the feature anywhere thus we thought the solution is outdated.

How do we solve this problem?

    Power Apps → Tables
    • Open the main table and check the Columns tab.
    • Find the column with Data Type = Lookup  (Make a note of Related Table Name).
    Platform Admin Center → Environment → Settings → Security → Security Roles.
    • Open the role assigned to the user.
    • Find the lookup table name , Grant at least Read access (usually Local or Basic level is enough) Save the role.

    @MS.Ragavendar Thank you for the reply, but the reason why I want to add new Assigned Table is because the lookup table is not even in the role's assigned table list. So, I can't do the second step.

    Are you able to switch the dropdown below 'Tables' to 'Show all tables', and see Custom Tables once you scroll down?  That should allow you to do what you are asking.

    Hi there,

    As @MS.Ragavendar said, you should be able to do it inside the security role's privileges page. As @lynfin mentioned (sorry I post while he was posting I suppose), if you want to add a new table, you need to make sure you set the tables visibility lookup on 'show all tables':
     
    Once you did it, you should be able to search for custom tables.

    Adding New Assigned Table to Security Role

    When a user gets the “You don’t have permission to view this data” message, it usually means the Dataverse lookup table they’re trying to access isn’t included in their security role. Even if the main table is assigned, lookup navigation requires permissions on the referenced table as well. The reason you cannot find the table in the security role is due to the new Admin Center UI. It only shows assigned or frequently used tables by default, so legacy or older custom tables may not appear in the list.

    You can fix this in either of two ways:

    1. In the modern UI, open the security role and change the filter from “Show only assigned tables” to “All tables.” Then search for the missing table, grant the required permissions, and save.

    2. If the table still doesn’t appear, open the classic interface via Settings → Advanced Settings → Security → Security Roles. The full list of tables (including older custom tables) will show under the Custom Entities/Custom Tables tab. Add the table there and assign the needed privileges.

    Once the lookup table permissions are assigned, the user should be able to open the record without the error.
