Dynamic knowledge based on user login

Hello,
 
My usecase is to create a chatbot that reads a file which returns department that user have access to, then based on those departments fetch the data that we need to use for the Q&A.
 
For this use case I created two flows, one to fetch the user assigned departments based on the user login info and second is to fetch the actual filtered data based on this department list. Then I used these two flows in the conversation start topic and I assign the data to a vaiable. Then i created a new topic where I used the generative node action with the data from variable as the custom data but problem is the generative node only takes 15 lines of data while I have 100s of lines data.
 
What is best way to use the data which changes dynamically as per user login as the dynamic knowledge source for the Q&A on the chatbot?

    Is there data itself in sharepoint, dataverse, excel?
     
    Is the data itself (if in any of those) written with row level validation of department? I am asking because you are bringing the data back but 
    a) can you verify how much data was brought back by your flow?
    b) can you write the data from your Flow to either a Word Doc or Excel or PDF from the Flow, then use the Document (not raw text) which I believe would resolve this.
