SharePoint library as a knowledge base

Hello,

A month ago, I added a SharePoint library to my bot as a knowledge base, and it worked perfectly. The bot consumed all the documents that were there.

About 22 days ago, the bot stopped consuming this library. The bot enters the topic and searches the library, but in the end, it shows me the message “No information was found that could help answer this.”

 

  • I have tried deleting and reinstalling it.
  • Changing the model.
  • Testing it on other bots, but nothing works. It seems to be a general issue.
  • I even tried using normal SharePoint folders, but it still doesn't work.

For now, I have the bot consuming documents from OneDrive. I asked Microsoft technical support for help, but they haven't responded to my case, and I'm honestly a little desperate.

    This issue is almost always caused by SharePoint search indexing or permissions, not the bot. Copilot Studio can only read documents that Microsoft Search can index.

    Please check these three things on the affected library:
    1. Search indexing
    • Site → Search and offline availability
    • Library → Advanced settings → Search
    Make sure both say “Allow items to appear in search results = Yes.”

    2. Permissions
    If the library lost “Everyone except external users” or inherited permissions, the bot can’t access it even if you can.
     
    3. Reindex
    Go to:
    • Site → Reindex site
    • Library → Reindex document library
    Wait 20–40 minutes.

    Since your OneDrive test works, this confirms the problem is with SharePoint indexing or access, not Copilot Studio.
